Job Summary

The role of the Academic Affairs Officer is to provide administrative support to the Internship Director at any hospital designated by COM in the Academic Affairs section. This position involves working closely with hospital Academic Affairs Offices, and hospital administrative staff to ensure successful completion of the Internship Rotations. Additionally, the officer is responsible for managing assigned committees and providing support to faculty and students.

Primary Duties & Responsibilities

  • Assists in formulating scheduling rotations of the interns, sharing updated list of each hospital with the Internship Director/and delegated official personnel.
  • Works directly under the subordination of the Internship Director and manages all the routine administrative tasks related to internship.
  • Maintains all the records of the student interns, rotations and evaluations coordinating, and supporting the Interns in all respects, including their hospital IDs, requests, guidance, and requirements.
  • Follows up with the Internship Director, other members of internship office, the interns, and the academic affairs office of the hospitals.
  • Tracks and files rotations by the Interns.
  • Participates in Interns development programs that include tracking performance.
  • Ensures and coordinates the availability of the facilities that support the interns at the hospital.
  • Takes over partial responsibilities of the other Academic Officers on leave or vacation.
  • Coordinates in finalizing Interns SMLE certificate of Eligibility.
  • Coordinates between the interns/ needs and requirements and the Academic Affairs Office in hospitals.
  • Communicates with other administrative staff in the Academic Affairs Office to assure the circle of the Interns and the quality of training for the interns.
  • Coordinates and liaises with hospitals coordinators.
  • Collates feedback from undergraduate departmental representatives to pass on to relevant committees/persons.
  • Liaises with departmental representatives to ensure updates are shared and to determine who will be responsible for communicating these to constituents.
  • Performs all duties in a professional, effective, and confidential manner.
  • Performs all other related duties as required or assigned by the direct line manager.
  • Provides guidance, support, leadership, and conducts annual performance appraisal management to employees to ensure effective and efficient flow of work, and ensures that all employees recognize their fundamental roles to achieve the University’s overall objectives.

Education & Experience

  • Bachelor’s degree in business administration, or equivalent from an accredited institute.
  • Minimum of two (2) years’ experience in admin, clerical work, or any other related field.
