The administrative Specialist is responsible for assisting the department head in day-to-day task management within the College. This role requires multitasking across a range of responsibilities at a professional level which requires active and regular engagement in running affairs of the section ranging from coordination and supervision of supporting staff, playing a major role in advising students, assistance with scheduling and registration, supervision of exams and supervise and assist with implementation of policies. Administrative specialists will also assist in the development and implementation of programs designed to promote positive student behavior and help organize college events and graduation as well as school visits.
Primary Duties & Responsibilities
- Develops and demonstrates excellent understanding of the Bachelor Business Administration (BBA) degree program and study plans.
- Oversees and administers the office's day-to-day activities such as responding to e-mails and processing forms.
- Implements department’s policies and procedures to ensure compliance with policy provisions and standards including attendance policy, make-up exam policy and academic integrity.
- Advises students and follows up with them on probation.
- Assists with supervision of attendance and performance of the supporting team in the college.
- Assists with supervision of the college assessments for quality assurance on an ongoing basis including random seat allocation for exams in large venue such as CDEX and Princess Haya Auditorium.
- Prepares and maintains the work schedule and action dynamic changes in the schedule management.
- Manages and coordinates the arrangements for orientations, graduation ceremonies and other events such as open house and college seminars.
- Keeps accurate and clean record of section’s activities for formal reporting.
- Maintains filing and office records accurately.
- Collects and processes department statistics to produce by end of semester.
- Monitors student attendance during lectures, seminars, and other academic events.
- Enters and updates data, manage spreadsheets, and generate reports as needed.
- Assists with special projects and departmental initiatives, providing administrative support where needed.
- Ensures effective communication with the department’s staff and faculty members.
- Performs all other duties in a professional, effective, and confidential manner.
- Performs all other related duties as required or assigned by the manager.
Qualifications And Competencies
Education/ Certificates
- Bachelor’s degree in Business Administration, Human Resources, Public Relations, or equivalent from an accredited institute.
Professional Experience
- Minimum of four (04) years’ experience in administrative tasks or student services role or related fields.
