Job Summary
Events and Activities Officer plans, develops, and promotes entertainment and special events for Alfaisal University. He/She tries to provide something for everyone - whatever their interests or age were events could include theatrical shows, exhibitions, concerts, conferences, festivals, sports meetings, and craft fairs.
Primary Duties & Responsibilities
- Plans, designs, and manages all project delivery elements within time limits & maintains accurate records and reports for all University events and maintains a system to evaluate and enhance the quality of events.
- Assures that the marketing materials & services are appropriate and are available for Alfaisal students’ organizations.
- Set goals for the events and activities performance and deadline in ways that comply with students’ requirements, target audience, and objectives.
- Coordinates logistical planning with Facility Department for student events to organize all events' details such as decoration, catering, entertainment, transportation, special guests, equipment, promotional material, etc.
- Plans and coordinates operational support and logistical needs for public events to ensure securing overlay, security, brand management, crowd management, parking, and traffic and transport.
- Ensures timely information and records management including maintaining event-related databases and adding new events on Student Affairs’ Event Calendar.
- Manages all finances for student organizations.
- Provides all students who participated in events receive a non-academic transcript.
- Selects venues, liaises with venue managers, and books flights for Alfaisal’ s external events and conferences.
- Assess all students' proposals and provide recommendations before approving or rejecting them.
- Develops strategies to boost student turnout at events.
- Prepares an annual list of events for the Board of Trustees (BoT).
- Manages and oversees the delivery of Marketing Communication services to support student organizations.
- Manages with all information technology needs for student events.
- Collaborates with external companies and programs to develop opportunities for students.
- Maintains a flexible schedule to accommodate all events, attending them in the morning or evening as needed.
- Develops a market and publicizes events in a way that will attract all Alfaisal Students.
- Supervises and updates the Students Affair’s social media accounts.
- Performs all duties in a professional, effective, and confidential manner.
- Performs all other related duties as required or assigned by the manager.
Education & Experience
- Bachelor’s degree in Public Relations, Business Administration, or equivalent from an accredited institute.
- Certified Associate in Project Management (CAPM) by Project Management Institute (Desirable).
- Minimum of two (2) years experience working in event activities, public relations, or other related fields.
