Job Summary

The IRB Specialist is responsible for day-to-day operations, managing information, and communicating effectively through phone and email. This role may require ensuring that administrative tasks are done accurately and delivered promptly with high quality. In addition, the Specialist provides executive administrative support, creates reports and memos, organizes events, and helps the Office of the Vice President for Research.

Primary Duties & Responsibilities

  • Provides a point of coordination for the administrative assistants working in the Office of Research to maintain expert functioning and quality.
  • Prepares & registers all correspondence; types, and edits letters, reports, and internal memos; prepares documents as necessary; and maintains a high-quality professional filing system for the Office to allow for effective tracking and record keeping.
  • Maintains confidentiality in matters relating to the Office of Research and follows processes and procedures regarding records and premises.
  • Communicate the needed approvals and implementation processes for research laboratories requirements.
  • Coordinates and administers the day-to-day operations of the Institutional Review Board (IRB).
  • Reviews research protocols to ensure compliance with ethical guidelines and regulatory requirements.
  • Facilitates the submission and processing of research proposals, ensuring completeness and accuracy of documentation.
  • Conducts preliminary reviews of research protocols, identifying any potential ethical issues or concerns.
  • Collaborates with researchers to address feedback, modifications, or clarifications needed for ethical compliance.
  • Maintains accurate records and documentation related to IRB activities, including protocol reviews, approvals, and correspondence.
  • Assists in organizing and facilitating IRB meetings, including agenda preparation and documentation of meeting minutes.
  • Stays updated on regulations, policies, and guidelines relevant to human subject’s research.
  • Provides guidance and training to researchers on IRB policies, procedures, and best practices.
  • Collaborates with other departments and stakeholders to ensure effective communication and adherence to IRB requirements.
  • Performs all other duties in a professional, effective, and confidential manner.
  • Performs all other related duties as required or assigned by manager.

Education & Experience

  • Bachelor’s degree in Information Technology or Science or equivalent from accredited institute.
  • Minimum of four (4) years in admin position, or other related fields.
